The Short Version
If you have employees, the comparison is simple: Xero and Zoho Books have no SA payroll. You would need a separate product (SimplePay, PaySpace, or Sage Payroll) on top. SNSBooks and Sage Pastel are the only options with payroll built in — but Sage is more expensive and requires more accounting knowledge.
If you have no employees and just need invoicing and accounting, Zoho Books' free or R99 plan is genuinely hard to beat on price.

Xero — Great Software, Wrong Country
Xero is well-designed and widely used globally, and has a strong ecosystem of integrations. For South African businesses it has two significant gaps:
1. No SA payroll. Xero acquired a payroll product in some markets but not South Africa. You need a separate subscription — typically SimplePay (~R149/month) or PaySpace. That means two logins, two monthly fees, and manually reconciling payroll between systems.
2. Pricing in a foreign currency. Xero's SA pricing is set in Rand but changes with exchange rate movements. It currently starts around R350/month and can exceed R1,000/month for growing businesses.
Best for: Businesses with no employees, or those already using SimplePay who need a premium accounting product and don't mind the extra cost.
Zoho Books — Best Value If You Have No Employees
Zoho Books is arguably the best-value pure accounting product in South Africa. The free plan is genuinely usable (1,000 invoices/year, bank reconciliation, basic reports). The Standard plan at R99/month adds VAT tracking and recurring expenses — features you'd pay R350+ for on Xero.
The critical limitation: Zoho has no SA payroll at all. Not even as an add-on. Zoho Payroll exists in India and some other markets but not South Africa. If you have even one employee, you are adding another subscription.
Zoho Books + SimplePay = R99 + R149 = R248/month minimum — still cheaper than SNSBooks for one employee, but the gap closes quickly as your team grows, and you still have two separate systems.
Best for: Sole traders, freelancers, and small businesses with zero employees who want the most affordable cloud accounting.
Sage Pastel — Powerful but Complex
Sage is the incumbent in the South African market. It has a full payroll product and has been around for decades. The reasons many businesses are looking to move away from it:
- Desktop-first: Sage Pastel Evolution and Accounting are primarily desktop applications with cloud access bolted on. The user experience feels dated.
- Requires accounting knowledge: Sage assumes you know what a journal is and how to code a transaction. It is not self-serve for a business owner without bookkeeping experience.
- Price: Pricing starts around R450/month and rises significantly for payroll, multi-user access and advanced modules.
- Implementation cost: Many businesses need a Sage reseller or accountant to set it up, adding to the total cost of ownership.
Best for: Established businesses with a bookkeeper or accountant who is already trained on Sage, or businesses with complex inventory or manufacturing needs.
SNSBooks — Built for SA Businesses Without an Accountant on Staff
SNSBooks was built specifically for the gap in the market: South African businesses with 1–30 employees who need both accounting and payroll, but don't have a dedicated bookkeeper.
What makes it different:
- Double-entry accounting runs silently in the background — approve an invoice and the debit/credit is posted automatically
- PAYE, UIF and SDL are calculated from stored tax tables updated each year — no spreadsheet lookups

Honest limitations:
- Newer product — fewer third-party integrations than Xero or Zoho
- No direct SARS eFiling submission yet (EMP201 preparation report gives you everything to submit manually in 5 minutes)
- Bank live feeds via Stitch are available but gated to higher plans
The Real Decision: Do You Have Employees?
No employees: Zoho Books free → R99 is hard to beat. SNSBooks' free plan is competitive.
1–5 employees: SNSBooks Business+Payroll (R549) vs Zoho Books (R199) + SimplePay (~R149) = R348. SNSBooks is R201 more per month — but one login, one reconciliation, IRP5 and EMP501 included, and payroll posts directly to your accounts. Many businesses find the consolidation worth the premium.
5–30 employees: SNSBooks becomes more cost-effective. SimplePay pricing scales per employee; Xero stays flat but still has no payroll. SNSBooks payroll is included at the same plan price.
